Description of Duties
An exciting opportunity has arisen to work within the Administration team of Manufacturing organisation based in Seaham, County Durham.
Reporting to the Administrator you will be responsible for the following:
• Ensure the Reception area is kept clean and tidy
• Offer refreshments to visitors and staff in the offices who are attending meetings.
• Ensure printer paper is topped up regularly
• Answer the reception telephone, direct calls to the correct department as well as finding out the reason for the call and why they are calling. Take messages for people if they are busy or not in the offices
• Book parcel couriers for employees
• Deal with customers coming to collect orders, signing invoices and liaising with warehouse
• Ensure the post is posted each evening
• Greet guests and ensure they sign in and out. Inform the correct person that their visitor has arrived
• Sign for parcels & inform recipient of their delivery
• Organise Board room diary and set up meeting room prior to meetings
• Log faults with the vending machine company
• Maintain the coffee machine and water dispenser- organise repairs for any issues/faults
• Fill and empty dishwasher each morning and night
• Control stock and delivery of milk with the milk man for the dispenser
• File customer invoices, credit notes, drivers reports and order forms when necessary
• Assist with ordering of stationary items
• Assist with fire alarm testing
• Any other reasonable duties as required by the Administrator
Skills Required
There are no entry qualification requirements, however, applicants must be assessed by the Apprenticeship provider to ensure they will be able to generate the required evidence to achieve the Level 3 Business Administrator Apprenticeship programme.
Candidates must have good I.T Skills and experience of using these within a workplace setting.
