Administration Assistant

Description of Duties

Key Tasks and Responsibilities:

• Taking incoming calls and making outbound calls
• Maintain client files, filing, scanning documents etc
• Deal with (POD’s) Proof of Delivery Enquiries
• Maintain updated records of orders for suppliers and customers
• Handle customer and supplier queries
• Gather information from customers regarding payment dates for invoices
• Manage telephone and e-mail queries
• Accurate dispatching of information as required via email/phone
• Accurate data entry onto the in-house information systems
• General office administration duties; including documenting invoices, updating spreadsheets and filing
• Ordering stationery
• Raise requisition forms and purchaser order allocation
• Organise finance team meetings, minute taking, record and communicate action plans
• Book accommodation
Help the Accounts team with any general finance work which may include but not be limited to:
• Purchase invoices
• Sales invoices
• Credit control

These duties are not exhaustive and other duties may be required from time to time. It is also anticipated that the duties will progress over time.

Skills Required

Desired qualifications/Personal Qualities:

A*-C/9-4 GCSE (or equivalent) in English and Maths are desirable.

• Ability to work as part of a team
• Be enthusiastic and keen to learn
• Ability to work in a fast-paced environment
• Good communication skills
• Excellent writing skills with solid grammar
• Adaptability
• Confident in their ability
• Observe discretion and confidentiality
• Applicants should have good IT skills and the ability to use Microsoft Office programmes as detailed above.

Additional training will be provided to the successful candidate.
