Business Administration Apprentice (Intermediate)

Description of Duties

• Manage reception area and look after visitors, offering refreshments where necessary to guests and staff
• Answering telephone calls, taking messages and transferring them as necessary
• Maintain outgoing post and records data on special deliveries
• Type all relevant documents accurately, taking appropriate copies as per company procedure
• Photocopy and file appropriate documents as needed
• Draft, format and print relevant documents in accordance with company procedure
• Create and update records and databases with personnel, financial and other data (which may be of a confidential nature)
• Process enquiry information accurately, forwarding to relevant staff, taking appropriate copies inclusive of relevant drawings, bills of quantities, specifications etc, all in accordance with company policy and procedures
• Obtain O&M information as required
• Collate necessary Ram Tracking information and report to Directors and wages dept.
• Collate time sheet information for wages dept
• Maintain wages costings are accurate and up to date
• Maintain accurate records for employee holiday requests
• Check commercial spreadsheets to ensure all boxes have been captured in formulas.
• Time manage and upload relevant information for Online tender submissions. All complex documents such as PQQ or tender submissions will be provided to the administrator by others for them to upload, but the time management is the responsibility of the administrator to ensure this is submitted on time.
• Download and print tender information packs for estimators allocated to the works in correct scale and with the correct specification clauses required.
• Competent use and knowledge of company printers and fax machine

Skills Required

• Good computer skills, including experience of working with Microsoft Office.
•Excellent written and verbal communication skills, including a good telephone manner
• Excellent Maths skills
• Punctual with great time management

• Ambitious and possess a genuine interest in progression
• Eager to learn and confident to take on new responsibilities
